In Short

  • We collect the details you give us so we can coach you safely and run your 6 week kickstart or membership.

  • Your health information is only used to keep you safe and coach you properly, and only with your explicit consent.

  • We never sell your data. We only share it with the services we use to run TSC.

  • You can ask to see, correct or delete your data, object to how we use it, or stop our marketing, at any time. Email [email protected].

1. Who we are

Tristan Stowe Coaching Ltd, trading as TSC Training Studio ("we", "us"), is responsible for your personal information. In data protection terms, we are the controller, which means we decide how and why it is used. We are registered in England and Wales, company number 12468944. Registered office: 8 John Fleming Close, Houlton, Rugby, CV23 1FD. Our studio is at KG Business Centre, Kingsfield Way, Dallington, Northampton, NN5 7QS. You can reach us at [email protected].

2. What we collect and where it comes from

  • Contact details: your name, email address and phone number.

  • About you: your date of birth and gender.

  • Health and fitness information: your health questionnaire, injuries and conditions, movement assessment results, body composition scans, measurements, strength and progress data, and your attendance.

  • Photos and videos, if you say yes to us taking them (see section 5).

  • Payment details. Card payments go through Stripe and Direct Debits through GoCardless. We never see or store your full card or bank details.

  • Our messages with you: emails, texts, calls, bookings and notes.

  • Website and advert data: how you use our website and which ads you came from (see section 12).

Most of this comes from you, when you fill in a form, book, sign up or speak to us. If you enquire through a Facebook or Instagram advert, Meta passes your details to us. We also collect website and advert data automatically through cookies, and booking details through our booking system.

Our services are for adults aged 18 and over. We do not knowingly collect information from anyone under 18.

What if you do not give us your information? You do not have to, but we need your contact and payment details to provide your Kickstart or membership, and your health information to train you safely. Without them, we cannot start your training.

3. Why we use your information and our legal basis

The law says we need a reason, called a legal basis, for using your information. Here are ours.

  • To deal with your enquiry, book your consultation or intro assessment, and run your Kickstart or membership. Legal basis: contract, including steps you ask us to take before you sign up.

  • To take payments and keep our accounts. Legal basis: contract and legal obligation.

  • To send you reminders and messages about your sessions and payments. Legal basis: contract.

  • To coach you safely, using your health information. Legal basis: your explicit consent (see section 4).

  • To send marketing and offers. Legal basis: your consent (see section 7).

  • To use your photos, videos and testimonials. Legal basis: your consent (see section 5).

  • To measure and improve our website and adverts. Legal basis: your consent, through our cookie banner (see section 12).

  • To keep records, handle complaints, keep the studio safe and protect ourselves if something goes wrong. Legal basis: our legitimate interest in running the business properly, and our legal duties.

Where we rely on legitimate interests, we have weighed them against your rights and we only use what we need. You can object at any time (see section 10). We do not use automated decision-making or profiling that has a legal or similarly significant effect on you.

4. Your health information

Health information is treated as especially sensitive, and we look after it that way. We ask for it so we can keep you safe and adapt your training. We only use it for that.

We ask for your explicit consent when you complete your health questionnaire. Explicit consent is the legal condition we rely on for using health information. You can withdraw it at any time by emailing us, but we cannot safely train you without it. Only your coaches and the people who run TSC can see it.

5. Photos, videos and progress results

We love showing what our members achieve. We ask you in person at your intro assessment whether we can use your photos, videos, progress results and testimonials, and we record your answer. You can say yes, yes with your face kept out of shot, or no. Any answer is fine.

If you say yes, we may use them on our website, social media, email campaigns and adverts. This can include before and after photos and details of your health and fitness progress. We only use your name, results and before and after photos if you have specifically agreed to that. We train in a small room, so you may appear in the background while we film other members. If you have said no, we won't post you, and we delete any footage where you can be recognised within 30 days.

You can change your mind, or ask for changes, at any time by emailing [email protected]. We will stop using your content and take it down from our own channels, though we cannot remove copies other people have already shared.

If you appear in a photo or video by mistake, for example in the background of someone else's, email us at [email protected] and we will remove it.

6. Who we share it with

We never sell your data. We use trusted providers to run TSC, and they only handle your information on our behalf:

  • GoHighLevel: our customer records, forms, messages and booking pages.

  • TeamUp: session booking and attendance.

  • Stripe and GoCardless: payments.

  • Google: measuring how our website is used.

  • Meta (Facebook and Instagram): our adverts, lead forms and advert measurement. This can include sending Meta details such as your email address or phone number, in a scrambled form, so it can match them to its users and measure whether our adverts work. Meta has its own privacy policy for how it uses your data on its platforms.

We may also share information with our accountant or insurer where needed, and where the law requires it.

Some of these providers are based outside the UK, mainly in the USA. We make sure your information is protected when it goes abroad. Either the provider is covered by a UK adequacy arrangement, such as the UK-US data bridge, or the transfer is protected by safeguards such as the UK's International Data Transfer Agreement. You can ask us for a copy of the safeguards that apply by emailing [email protected].

7. Marketing messages

By ticking the consent box, you agree to receive relevant messages by email or text from us, including reminders, studio updates and occasional offers. You can opt out at any time by clicking "unsubscribe" in an email or texting STOP. Opting out of marketing will not stop the messages we need to send about your sessions and payments.

8. How long we keep it

  • Enquiries that do not become members: up to 12 months after our last contact.

  • Kickstart clients and members: up to 6 years after your last contact. This covers our accounts and any legal claims.

  • Health and progress records: up to 6 years after your last contact, so we can answer any question about your training.

  • Photos and videos: until you ask us to stop using them.

  • Marketing preferences: until you opt out. We keep a note that you opted out so we do not contact you again.

If a type of information isn't listed here, we keep it only for as long as we need it for the reason we collected it.

9. Keeping it safe

Your information is stored in secure, password-protected platforms, and only the people who need it can see it. No system is perfectly secure, but we take care of yours. If a problem ever affects your information, we will tell you and the regulator where the law says we must.

10. Your rights

You can ask us to:

  • Give you a copy of the information we hold about you

  • Correct anything that is wrong

  • Delete your information (we may need to keep some of it for legal reasons)

  • Restrict how we use it

  • Send your information to another provider, where this applies

  • Withdraw your consent at any time, including for marketing, health information and photos. It is as easy to withdraw as it was to give: email us, tell a coach, or click "unsubscribe".

Your right to object. You can object at any time to us using your information for our legitimate interests, and you can ask us to stop sending you marketing, which we will always do. Email [email protected] or tell a coach.

To use any of these rights, email us at [email protected] or tell a coach. There is no charge, and we will reply within one month. We may ask you to confirm who you are first.

11. Complaints

If you are unhappy with how we have used your information, tell us. You can complain by email, by phone, in person or by message on social media. We will acknowledge your complaint within 7 working days, look into it and do our best to put it right.

You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We would like the chance to put things right first.

12. Cookies and tracking

Our website uses cookies and similar tools, including Google Tag Manager and the Meta pixel, to understand how people use our site and to measure our adverts. Strictly necessary cookies are always on. For everything else we ask for your consent through the cookie banner. You can change your choice at any time by clearing the cookies for our website in your browser, which brings the banner back. Meta and other third parties may use cookies and similar technologies on our website to measure and target adverts. You can opt out of targeted adverts through your Facebook and Instagram ad preferences.

13. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make an important change, we will tell you by email.
